    MS Office Excel Printing Preferences Keeps Default to B&W


    Hi all, I am hoping you can help with this strange bug.I have several domain joined workstations that have 2 printer entries added via the server, one is named B&W and has the printer preference restricted to Grayscale ONLY and one is colour with the preference as Color. For all users the default printer is B&W, the issue is when selecting the colour entry it continues to select B&W via Excel > Print > Printer Properties under the selected printed despite it being correctly set as colour when via Control Panel's Printer Preferences. I try the same on Word and PowerPoint and

    Does this issue only occur with Excel file or nay other files?

    Try to copy the excel file to the other drive and check if it is working?

    Run Print Troubleshooter

    The built-in Printer Troubleshooter can automatically detect and fix most of the incorrect settings and errors that could cause issues while printing. I would suggest you to run this troubleshooter to check if there is any issue with the sound. Refer
    top these steps:

    • Click on Troubleshooting and select the
      view all option on the left pane.
    • Click on Printer troubleshooter and follow the online instructions.

    If this doesn’t help. Try to repair the Microsoft Office Application.

    I would suggest you to follow the below steps, to print a Half Sheet paper in Excel.



    1. Open the Excel Spreadsheet.
    2. Go to File, click on Print.
    3. Under the Print Settings, select the option "Custom Scaling".
    4. Then select the option "Custom Scaling Options".
    5. Under Page tab, select the option "Adjust to:" Change the value to 50%.
    6. Click OK, and try to print the Excel paper.

    Hello info, I'm a fellow Windows/Microsoft user. I'm happy to assist you.

    Managing default print settings has changed a bit in Windows 11. While you can't create a favorite B&W setting as the default, there are ways to restrict color printing.

    You can adjust the printer properties for default grayscale printing. Go to the Start menu and search for "Settings". Open "Settings" and navigate to "Bluetooth & devices" or "Printers & scanners". Click on your printer name. Select "Properties" or "Open queue". Look for "Printing Preferences" or a similar option. This might be under the "Manage" section for your printer. Within the Printing Preferences, navigate to the "Color" or "Color Mode" tab. For some printers, you might need to access manufacturer-specific settings first. Choose the "Grayscale" or "Black and White" option. Click "OK" or "Apply" to save the settings.
